Executive Assistant to CEO - Portland, OR

The Executive Assistant will provide comprehensive administrative support to our CEO and Executive Vice President of Global Operations. A proactive mindset and customer-service approach will allow you to anticipate needs and seamlessly provide the resources our executives will need whether they are in our global headquarters or traveling. Your sense of urgency and keen attention to detail will allow you to quickly adapt to changes in schedules and resolve potential conflicts or delays before they arise.

Essential Duties and Responsibilities

  • Manage executive’s calendar and maintain executive's full schedule by planning and scheduling meetings, conferences, and travel
  • Arrange complex and detailed travel plans and itineraries, both domestically and internationally; compile documents for travel-related meetings and arrange any travel visas necessary
  • Problem-solve in all situations, including meeting scheduling and rescheduling, potential travel issues and delays, and any day to day changes
  • Professional in all communications and confidential with all information
  • Organizes small and large meetings, conferences, and events coordinating various resources with internal teams and vendors
  • Maintain office supplies and vendor relationships
  • Assist with preparation of corporate communications
  • Tracks and maintains monthly reports, including collecting, analyzing, and formatting information
  • Works with the full Corporate Communications and Administrative team on planning events and supporting projects as needed

Job Qualifications

  • 5+ years of experience in a similar role directly supporting Executive level staff
  • Experience planning and booking multi-stop domestic and international travel
  • Outstanding organization, prioritization, and problem-solving skills
  • Exemplary interpersonal, written and verbal communication skills
  • Strong working knowledge of Microsoft Office suite with emphasis on Word, Excel, PowerPoint, and Outlook
  • Adaptable and proactive, able to adjust plans and reprioritize in a fast-paced environment
